GENERAL MEMBERSHIP MEETING INFORMATION
Meeting Schedule
Meetings are held the 3rd Wednesday
of each month except for July. There is no meeting in July. The meeting
for the months of March, September, and December are luncheon meeting.
Pre-Meeting Activities
A membership desk is provided for
members sign-in and is the location for copies of prior month's meeting
minutes, newsletters, brochures, quilt show information, etc. In addition
if you want a guild pin inquire at the membership desk on how to purchase
one.
A basket of the month desk is provided
for members to purchase chances on a drawing for a basket of quilt related
materials. This desk also serves as the exchange location for Secret Pal
surprises. To join the Secret Pal program, complete a form to enter your
name at the December (Christmas) luncheon and draw a form for your Secret
Pal. Form will be available at the membership desk. You must join at the
December luncheon if you are interested in participating.

GUIDELINES
The purpose of the pins is to promote the art of quilting.
When members bring their quilted
projects for show and tell, they receive a pin to show their accomplishments.
Forms are located at the sign in desk at each meeting. Fill out a
form for each project, checking the proper category, then give the completed
form to the pin chairperson, who will give the appropriate pin and
ask you to initial the form that you have received that pin.
A) Scissors Pins:
Quilt must be 48 inches or
larger on the shortest side. Quilt can be hand quilted, tied or machine
quilted. (Lap, Twin, Full, Queen or King)
B) Sewing Machine Pin:
Quilt must be less than 48
inches on the shortest side. Quilt can be hand quilted, tied or machine
quilted. (Wall Hanging, Baby, Lap or Mini)
C) Spool of Thread Pin:
Must be some form of wearable or miscellaneous art.

FOR SHOW AND TELL PINS
There are 2 baskets given each
month as door prizes. A total of $35.00 is split evenly between the
two. Quilting items such as fat quarters and miscellaneous needs
are purchased at random quilt shops and placed in the baskets. The
baskets themselves are usually donated or purchased at garage sales.
We try to take advantage of sales and most quilt shop owners will give
a 10% to 50% discount when told what it is for. At the meeting, a ticket is given
to each member and we draw for the baskets. The 1st number drawn
has first choice of baskets and the other basket goes to the 2nd winner.
First of all, it is very important
that the Newsletter Chairperson attends both Board meetings and general
meetings. Although the secretary takes notes, it is important that
you collect information that will be of interest in the coming newsletters,
ie. coming events, those who are in need of prayers, what upcoming programs
will be available for Guild meetings etc. I place my newsletter on a floppy
disk as well as the hard drive and basically use my disk as a template,
ready to make changes, but not having to retype a new Newsletter each month.
It is my place to call other committee members or officers for additional
information I may need for the Newsletter. I contact the President
each month and ask for her/his letter or note to the members, obtain copy of
General meeting minutes to add to the newsletter from our secretary.
Contact Hospitality Chairperson for anyone needing our prayers, contact
the treasurer for any news she/he may have for the letter, and basically check
with the ladies holding various committees to include as much information
as possible each month. Once my Newsletter is typed I try to have
someone reread for typo errors etc, then the Newsletter is ready to go
to print. I purchase copy paper, go to BCC College and make copies,
put together Newsletter, obtain labels from membership chairperson to place
on each Newsletter, then go to the post office, purchase stamps, save receipts
for any purchased items for the Newsletter then turn into the treasurer.
Then I mail off Newsletter. Usually I try to get my Newsletter in
good standing order so that once I attend the Board meeting on the first
Wednesday of the month, I can add additonal info if needed and then prepare
to ready for print.
Guess that's all there is to it...pretty simple!
The publicity's duty consists of
putting announcements in the newspaper's (such as The Star Advocate,
The New Observer, and Today when space is available) alerting readers of
monthly meetings and up coming events.
There are many variations of this
project. The purpose is to have a finished quilt at the end of the
year. The standing idea is a different block is passed out with pattern
and instructions at the regular business meeting. For each block
that is handed out we ask for one volunteer to make a block for the guild
so the guild will have a completed quilt at the end of the year.
The chairperson collects a predetermined
amount for each participating member and purchases ½ yard of different
fabrics for each. She/He takes them home washes and irons all fabrics,
cuts them into squares or strips and returns to each person a package of
the assortment at the next meeting. Each month a different theme
is selected so that everyone a large variety in their stash.
This chairpersons is responsible
for having snacks and drinks at our regular business meeting. She/He
shall purchase necessary paper items and utensils as needed. She/He
may handle the food in any way she/he desires it be bought, call members for
donations or fix it herself/himself.
The membership person greets all
members and guest at the meeting.
a. Collect membership dues and turn into treasurer;
b. Create membership and mailing label list;
c. Sign up new members and make
sure they receive a membership book, name tag kit, and guild pin (you should
always keep at least 3 complete sets with you at each meeting);
d. Provide a sign-in sheet for members and non-members to sign in.
Take pictures of show and tell at guilt meeting;
a. Take pictures of any special trips or classes;
b. Take pictures to be developed;
c. Lay pictures out at meeting for members to view;
d. Buy an album, and place pictures
in album to present to president at the end of her/his term;
e. Guild will reimburse you for all photography expenses.
Is responsible for sending cards
and making phone calls to express the feeling of the guild in cases of
things that happen to our members, such as birthdays, sickness, births
and deaths. It is each person responsibility to report any of this
information to her/him for action.
